Chapter Management Program: Upgraded Submissions Process

We’ve heard your feedback, and we’ve upgraded our Chapter Management Program submission process to allow for tracking throughout the year.

 

Problem of Practice: 

During the 2024 National Convention, we spoke to several undergraduate and GAP chapter members about the Chapter Management Program (CMP) submission process and ways it can be improved.  Members shared with us the following challenges: 

  • Leadership transitions make it difficult to recall all CMP-compliant events
  • The achievement documents did not match the policy requirements
  • The current process is overwhelming

Solution:

Our hope is to track CMP compliance throughout the year to alleviate pressure to submit events at one time, provide opportunities for intervention and support, and make the submission deadline a "north star" for meeting Tier 1.  As a result, we are moving forward with the following interventions: 

  1. The Chapter Management Program Event Submission Form is live on ONE Hub in the Forms tab.  Chapters may use this link whenever they complete an event to go toward their CMP compliance.  Chapters would be responsible for submitting one form per event and are encouraged to submit a form within a week of the event occurring.  Chapters will receive a quarterly update from Regional Directors and via the Butterfly Bulletin of their achievement rate - percentage toward completion. 
  2. The Chapter Management Program—Governance and Operations Submission Form is live on ONE Hub in the Forms tab. This form is required twice a year: in the Fall (September 30th deadline) and in the Spring (May 31st deadline). It allows chapters to share their governance and operational documents, and information with the national organization. Incomplete governance items (chapter constitution, banking, etc.) in the Fall submission will receive national intervention and support in time for the Spring submission. 
  3. The Event Planning Toolkit and Membership Roster documents are available for download in the ONE Hub library under "Chapter Management Program."  These documents help you complete the aforementioned forms. 
  4. A working group is helping to design a chapter pacing guide that would help chapters plan for the year and ensure CMP compliance. If you are interested in joining the working group, don't hesitate to contact the National President. 

 

At the end of the sorority year, we will complete feedback on this process and make changes as needed.  Questions about the new submissions process should be forwarded to the National President.
